Jim Riehl's Friendly Cadillac and Honda in Clinton Twp. MI is looking for an experienced office manager, preferably with retail automobile dealership and General Motors experience.  Our store currently uses ADP for our payroll services and CDK as our DMS system, so experience with both software systems would be very beneficial. 
The duties of the office manager are as follows but are not limited to just these:
Hires, trains and supervises office personnel.
 Analyzes and organizes office operations and procedures.
 Prepares a complete financial statement monthly according to dealership guidelines and the manufacturers’ formats and time frames.
 Controls all posted documents, including time records, vehicle deals, commissions and additions/changes to inventory.
 Maintains an effective cash management system and forecasts cash needs.
 Controls petty cash amounts for the dealership and sales departments.
 Provides a timely Daily Operating Control (DOC) and keeps the General Manager informed about trends.
 Reconciles select accounts monthly.
 Approves adjustments to inventory and receivable accounts.
Ensures that all manufacturer accounts are current and accurate, including warranty claims, rebates, interest, protection and co-op advertising accounts.
 Prints monthly journals, schedules and general ledger and closes month by processing accounting month-end.
 Participates in the preparation of short and long-term forecasts.
Assists in the completion of annual reviews and audits.
 Ensures compliance with all government regulations.
 Maintains payroll records.
 Prepares tax reports and returns in a timely, accurate manner.
 Prepares employee health and life benefits.
 Stays abreast of current factory incentives and codes deliveries on dealership computer accordingly.
 Administers charge-back program for late charges to inventory.
 Prepares monthly floor plan report for use in commission calculations.
 Manages payoff of vehicle floor plan and works with bank representatives.
 Approves new charge accounts and oversees collection of past due accounts.
 Compiles information and prepares reports as requested by management and/or dealer principle.
 Controls keys to buildings and maintains log of keys issued to employees.
 Cross-trains and qualified substitute.
 Processes paperwork for new employees and terminations.
 Keeps an updated file of all dealership job descriptions.
 Maintains confidential employment files.
 Maintains a professional appearance.
 Attends manager meetings as requested.
The office manager will be responsible to work beside and with the general manager and be responsible for accounting, office and administrative functions.  They will also need to work closely with all other department managers and help them with any questions they have regarding their departments expenses, payroll, schedules, etc. 
A key responsibility of the office manager is to processes and generates financial data for all dealership departments, which together represent the accurate financial condition of the business.  This information is to be processed ethically, timely, and within in the manufactures individual guidelines, along with the guidelines of the state of Michigan, and the federal government.
